Property Overseer LLC ("we," "us," or "our") operates the Property Overseer platform at propertyoverseer.com. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our Service. By using Property Overseer, you consent to the practices described in this policy.

We collect the following types of information: Account Information: Name, email address, and display name provided during registration. Payment Information: Billing details processed securely through Stripe. We do not store credit card numbers on our servers. Evidence & Case Data: Photos captured through the in-app camera, descriptions, location data, and case metadata you add to the platform. Integrity Metadata: SHA-512 hashes, RFC 3161 timestamp tokens, content types, and file sizes generated during the sealing process. Usage Data: Browser type, IP address, device information, pages visited, and interactions with the Service collected automatically through standard web technologies.

We use your information to: Provide, maintain, and improve the Service. Store your evidence in Cloudflare R2 and seal it with SHA-512 hashing and RFC 3161 trusted timestamps. Generate Certified Record exports containing your timestamped evidence and integrity data. Process subscription payments and manage your account. Communicate with you about your account, support requests, and Service updates. Ensure the security and integrity of the platform. Comply with legal obligations.

All evidence is stored in Cloudflare R2 cloud storage infrastructure. When you seal a phase of evidence, your files are hashed with SHA-512 and the batch hash is timestamped by an independent RFC 3161 Time Stamp Authority (TSA). The signed timestamp token and integrity hashes are stored alongside your evidence records and are used to verify that file content has not been altered since sealing. Your evidence files are stored in a dedicated, access-controlled Cloudflare R2 bucket and are not accessible to other users or the public.

We do not sell, rent, or trade your personal information or evidence to third parties. We share data only with the following service providers who are necessary to operate the Service: Cloudflare: Cloud storage (R2) and content delivery for evidence files. Stripe: Payment processing for subscriptions and Certified Record exports. Base44: Application hosting and serverless backend infrastructure. These providers are bound by their own privacy policies and data protection agreements. We may also disclose information if required by law, court order, or government request.

Your evidence and case data are retained for as long as your account is active. Upon account deletion or subscription cancellation, we retain your data for up to 90 days to allow for reactivation or data export. After 90 days, all evidence files and associated metadata are permanently deleted from Cloudflare R2 and our databases. Payment records may be retained longer as required by tax and accounting regulations.

We implement industry-standard security measures to protect your data, including: Encrypted data transmission via HTTPS/TLS. Access-controlled Cloudflare R2 storage with service token authentication. Secure authentication through our platform provider. Regular security reviews of our infrastructure. While we take reasonable precautions, no method of electronic storage or transmission is 100% secure. We cannot guarantee absolute security of your data.

We use essential cookies required for authentication and session management. We may use analytics tools to understand how the Service is used and to improve the user experience. We do not use advertising cookies or tracking pixels. You can control cookie settings through your browser preferences, though disabling essential cookies may prevent you from using the Service.

Depending on your jurisdiction, you may have the following rights regarding your personal data: Access: Request a copy of the personal data we hold about you. Correction: Request correction of inaccurate or incomplete data. Deletion: Request deletion of your personal data and evidence. Export: Request an export of your data in a portable format. Property Overseer is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us immediately and we will take steps to delete that information.

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or through a prominent notice on the Service. Your continued use of Property Overseer after changes are posted constitutes acceptance of the updated policy.
